1. Purpose
To standardize the process for collecting, scanning, and attaching service reports when servicing an MFD (Multi-Function Device). This SOP ensures accuracy, consistency, and compliance with DG3 service documentation requirements.
2. Scope
This procedure applies to all technicians and print specialists responsible for servicing MFDs across the fleet. It replaces all previously issued report guides.
3. Responsibilities
Technicians/Print Specialists: Execute all steps outlined below upon servicing an MFD.
Supervisors: Ensure compliance with the updated process and verify report submission accuracy.
Support Team: Archive and track uploaded service reports in ticketing systems.
4. Procedure
Step 1: Counter List Report
Access the Press Counter Tab.
Select the Press Print List Tab.
Choose Paper Tray 8.5 x 11.
Press Start Tab.
Press Reset Tab.
Retain only the first page of the report.
Step 2: Demo Page
Press the Utility Tab twice.
Select Information.
Choose Print Information.
Select GDI Demo Page.
Press Start Tab.
Press the Home Tab to complete.
Step 3: Obtain IP Address
Press the Utility Tab.
Select Device Information Tab.
Record the IP Address (e.g., 10.170.30.5).
Step 4: Scan Documents
Scan the first page of the Counter List.
Scan the Demo Page.
Save both files in the Download folder.
Attach both pages when closing the MFD service ticket.
5. Compliance
Mandatory: This SOP supersedes and replaces any previous versions of the MFD Service Report collection guide.
Reports that do not follow this procedure will be considered incomplete and may delay ticket closure.
